Arranging tournaments should be easy all the way from registrations until the last match is played and its results have been entered. Cup Manager's registration system not only handles registration but handles everything from player registration and exemptions to hotel and classroom assignments and food planning lists.
Features and overview
When the teams register, they choose their association from our register of associations. This means that you do not have to misspellings and different writings of the same association. Thus, all teams from the same association get the correct name without manual corrections.
Built into the registration process is the possibility to let the law specify what type of law they are. Team types are defined by the tournament and can be, for example, Overnight or Local teams. By receiving the information directly when registering whether the teams plan to book accommodation or not, you can plan ahead. We can also simplify the continued booking by limiting certain booking options for only certain team types.
Simplify the booking of overnight stays even more by letting the teams book it directly in the registration form.
If a team chooses to stay overnight, you can also ask for the number of people and let the system automatically book, for example. Hard-line for so many people.
Also this, the team can choose to pay directly by card or Klarna if you so wish.
In Cup Manager, we have taken the concept of discounts further. You can define discounts that are applied automatically if they meet the requirements.
For example, you can automatically give a 10% discount to anyone who signs up before a certain date. Or give 450 SEK discount on registration fees to all overnight teams.
We also support discount codes. You can create discount codes in the system yourself and give these codes to teams that will sign up to give even more specific offers to selected associations.
Our payment solution with card and Klarna is directly integrated with the registration form so that you can claim payment upon registration if you wish.
This allows you to be absolutely sure that those who have signed up have also paid. You do not have to recover debts afterwards.
Of course, it is possible to set a maximum number of teams that can register in each class. If you wish, we can show in the registration form how many seats remain.
When a class is fully booked, we do not stop the booking, but change so that the teams instead end up on a reserve list. This means that if a team withdraws, you can easily take a team off the reserve list.
The law receives clear information in the notification form that they will be placed on the reserve list.
The registration form can be customized in many different ways. You can write your own texts at the beginning and at the end to inform or help the law.
You can also add your own questions that the law may answer in the notification. This can be used, for example, to find out how they found your tournaments or something else you want to know for the planning.
In addition to this, it is also possible to require the law to approve a contract text that you can write yourself.
As a system that handles many personal data on your behalf, we of course take GDPR very seriously. Wherever personal data is entered by the law, it is approved and we store their approval on our secure servers.
In all these situations, we also refer to your personal data policy. If you don't have one, we have a template that you can start from.
We also have a tool in the system that allows you after the tournament to easily clear out old personal data from previous years.
After the teams sign up, they get access to a page where they can enter more information and book more things, what we call the team account.
Here you have the opportunity to let the teams book accommodation and food, but you can also take the opportunity to sell T-shirts, disco tickets and everything else you can imagine.
Some important features of Cup Manager
The notification system is directly integrated with the rest of the system. No more import and export.
As soon as teams sign up, they show up in the system. If you have online payment by card or Klarna, the law will also be approved automatically if you wish. In addition, they will be directly available in the draw to make the group division. In the final phase of registration and the beginning of the planning, it is nice that it is quick!
Easily see new notifications
New notifications that you have not read through yet are clearly highlighted in the system. It allows you to keep track of what you have taken a stand on and what is new.
Get email notifications
If you wish, you can have automatic emails sent to you when new teams come in. This can be useful especially at the beginning or end of the sign-up process.
Confirmation emails are automatically sent to the teams that sign up. There is a summary of which teams they have registered, login to the team account and extra information text that you can enter yourself.
If teams have signed up for the wrong class, it's easy for you to correct with a few clicks.
The overview of notifications in the system is very flexible. It is possible to filter notifications on virtually any criteria imaginable. This allows you to get an overview of, for example, how many teams have not yet specified the lineup or entered arrival information. Or how many teams plan to arrive by train.
In the same place you see the notifications, a status line is also displayed for how many costs are unpaid, if there are teams on the reserve list, etc..
This means that you do not miss this important information.
