Take care of registered teams with clear communication and self-service.
Organizing tournaments should be simple all the way from registration to the moment the last match is played and its result entered. Cup Manager's registration system doesn't just handle sign-ups — it covers everything from player registration and dispensations to hotel and classroom assignments and meal planning lists.
Features and overview
Built-in club register
When teams register, they select their club from our built-in register of clubs. That means no misspellings or inconsistent spelling of the same club name — every team from the same club automatically gets the correct name, with no manual corrections needed.
Team types help you stay organized
Built into the registration process is the option for teams to specify which team type they belong to. Team types are defined by the tournament and could be, for example, Overnight or Local teams. By collecting this information right at registration, you can plan ahead for whether teams intend to book accommodation. We can also simplify the booking process further by restricting certain booking options to specific team types.
Let overnight teams book participation fees directly in the form
Simplify accommodation bookings even further by letting teams book directly in the registration form.
If a team indicates that they're staying overnight, you can also ask for the number of people and let the system automatically book, for example, floor-space lodging for that many people.
The team can also choose to pay directly by card or Klarna, if you wish.
Smart discounts and discount codes
In Cup Manager, we've taken the concept of discounts further. You can define discounts that apply automatically when the requirements are met.
For example, you can automatically give a 10% discount to everyone who registers before a certain date, or a 450 SEK discount on registration fees for all overnight teams.
We also support discount codes. You can create your own discount codes in the system and hand them out to teams ahead of registration, giving even more specific offers to selected clubs.
Built-in payment solution with card and Klarna
Our payment solution with card and Klarna is directly integrated with the registration form, so you can require payment at registration if you wish.
That means you can be completely certain that anyone registered has also paid. No more chasing down outstanding debts afterward.
Automatic waiting list
You can, of course, set a maximum number of teams allowed to register in each class. If you like, we can show the number of remaining spots directly in the registration form.
When a class becomes fully booked, we don't stop registration — instead, teams are placed on a waiting list. That way, if a team withdraws, you can easily bring in a team from the waiting list.
Teams are given clear information in the registration form that they'll be placed on the waiting list.
Customize with your own questions, agreements, and information texts
The registration form can be customized in many different ways. You can write your own texts at the beginning and end to inform or help teams.
You can also add your own questions for teams to answer during registration. This can be used, for example, to find out how they heard about your tournament, or anything else useful for your planning.
Beyond this, you can also require teams to accept a terms text that you write yourself.
Built-in GDPR support
As a system that handles a great deal of personal data on your behalf, we naturally take GDPR very seriously. Everywhere teams enter personal data, consent is collected and stored securely on our servers.
In every one of these cases, we also link to your privacy policy. If you don't have one, we provide a template you can use as a starting point.
We also have a tool in the system that lets you easily clear out old personal data from previous years after the tournament.
Sell more and gather additional information in the team account
After teams register, they get access to a page where they can provide more information and book additional items — what we call the team account.
Here you can let teams book accommodation and meals, but you can also take the opportunity to sell T-shirts, disco tickets, and anything else you can think of.
A few key features in Cup Manager
The registration system is directly integrated with the rest of the system. No more import and export.
As soon as a team registers, it shows up in the system. If you use online payment with card or Klarna, teams can also be approved automatically if you wish. That also makes them immediately available for the draw when creating group divisions. In the final stretch of registration and the start of planning, it's a relief when things move fast!
Easily see new registrations
New registrations you haven't reviewed yet are clearly marked in the system, so you can keep track of what you've already handled and what's new.
Get email notifications
If you like, you can receive automatic emails whenever new teams register. This can be especially useful near the beginning or end of the registration period.
A confirmation email is automatically sent to teams that register. It includes a summary of which teams they've registered, login details for the team account, and any extra information text you choose to add.
If a team has registered for the wrong class, it's easy for you to correct it in just a few clicks.
The registrations overview in the system is very flexible. You can filter registrations by virtually any criteria you can think of. That lets you get an overview of, for example, how many teams haven't yet submitted a squad list or arrival information — or how many teams plan to arrive by train.
In the same place where you view registrations, there's also a status bar showing how many costs are unpaid, whether there are teams on the waiting list, and more.
That means you'll never miss this important information.
