Collecting participant fees

If the tournament uses Cup Manager's payment solution, team managers can now collect participant fees directly from their players or their guardians.

From the team account, the team manager can choose to collect the money using SuperInvite. This lets them start a collection for the team's participant fees, where each participant can pay their share directly using either a payment card or one of Klarna's payment options.

What happens during a collection

Paying in from the team fund

At any point during the collection, the team manager can pay in the portion that comes from the team fund, using either a payment card or Klarna.

Participants pay

If the team manager added participants when the collection was created, each participant receives an individual link they can use to pay. The payment is then linked directly to that participant, so the team manager can easily see who has paid from their overview.

If the team manager instead chose to use a single payment link, participants fill in their own details when they pay, giving the team manager an overview of who has settled their fee.

Closing the collection

Once every participant has paid their fee, the collection closes automatically.

The team manager can also choose to close the collection early — for example if one of the participants is paying a different way or is no longer taking part.

If the deadline passes without everything being paid, the team manager still needs to go in and close the collection manually. Until they do, it remains open for all participants to pay.

How to start a collection

1. Choose a name and end date for the collection

The first step is to pick a name for the collection and a date by which the fees should be paid. While the collection is running, Cup Manager and SuperInvite help keep track of all the fees coming in on time. The date is always capped at the tournament's final payment deadline for participant fees.

2. Choose which fees to collect

The team manager then chooses which of the team's fees should be paid through the collection. If participants are added along with their contact people, the costs can also be split across individual participants — for example if only some of them bought the tournament's t-shirts.

3. Add participants

The team manager can choose to add all participants together with their contact people when the collection is created. SuperInvite will then automatically send emails and text messages with payment links to the participants, and also help send reminders as the deadline approaches.

3b. Collecting with a link

If you don't have contact details for every participant and everyone is paying the same amount, you can collect the money with a single simple payment link instead. The team manager chooses how many people are paying, and all participants can then use the same link to make their payment and fill in their own details.

4. Team fund

If part of the fees should be covered by the team fund, that portion can be added to the collection to be paid from the team fund. The team fund amount is then spread evenly across the participants, reducing the amount each of them needs to pay.

Use card payments and Klarna

Do what most of our tournaments do

Most of our tournaments now use card payments and Klarna to collect their registration fees. The large majority of them have also chosen not to offer any alternative way of receiving payment (though individual exceptions are always possible). This simplifies their administration of registered teams, since they can be 100% certain a team has already paid the moment it registers.

Klarna and card payments were the preferred payment methods in Sweden in 2019.

For e-commerce, Swedes report that 33% prefer card payments and 41% prefer invoice-based services (such as Klarna) when shopping online. Both payment methods supported by Cup Manager are therefore, by a wide margin, more popular than the remaining options. Together with direct payments, also supported through our Klarna integration, 85% of all Swedes will find their preferred payment method when registering for your tournament.
